This policy explains how Afiable Solutions LLC handles information collected through this website and while providing revenue cycle services.

This Privacy Policy applies to this website and to the business information we handle when providing medical billing, coding, accounts receivable, denial management and credentialing services. It does not replace the privacy notice issued by your own healthcare provider, and it does not alter the terms of any business associate agreement (BAA) executed between Afiable Solutions LLC and a client organization.

2. Information We Collect

We collect the following categories of information:

  • Contact information you provide. Name, organization, email address, telephone number, service interest and the content of any message you send through our forms or by email.
  • Technical and usage information. IP address, browser type, device type, referring page, pages viewed and time spent, collected automatically when you visit the site.
  • Client engagement information. Business contact details, contract records, billing information and correspondence relating to services we provide.
  • Protected health information (PHI). When we act as a business associate, we access PHI only as permitted by the applicable BAA and only to perform the contracted services.

3. Protected Health Information

Any PHI we access on behalf of a covered entity is handled under HIPAA and the terms of the relevant BAA. We use PHI only for the permitted purposes of the engagement, apply least-privilege access controls, maintain audit logging, and train our workforce on PHI handling. We do not sell PHI, and we do not use it for marketing.

Please do not submit PHI through this website. Website forms and general email are not intended for patient information. If you need to transmit PHI, contact us so we can arrange a secure channel under an appropriate agreement.

8. Data Security

We maintain administrative, technical and physical safeguards designed to protect information against unauthorized access, disclosure, alteration and destruction. These include encryption in transit, role-based access controls, access logging, workforce training and vendor due diligence. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Data Retention

We retain information for as long as needed to fulfil the purposes described in this policy, to comply with legal, tax, audit and contractual requirements, and to resolve disputes. PHI is retained and returned or destroyed in accordance with the applicable business associate agreement.

10. Your Privacy Rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction or deletion, to object to or restrict certain processing, to request portability, and to withdraw consent where processing relies on consent. Requests concerning PHI held on behalf of a covered entity should be directed to that healthcare provider, who is the responsible party under HIPAA. Opting out of communications. You can opt out of marketing emails using the unsubscribe link in any message. For SMS/text messages you can:

  • Reply STOP to any message to opt out of SMS messages.
  • Reply HELP to any message for assistance.

We may still send you service-related messages about an active engagement where permitted or required by law.
